Can I suggest for both clubs on bigger events.
Collect email addresses for entrants/members - couple of days to a week out . Send out a summary of the final details of racing. E.g. Times, classes, cost, rules, director, any other info relevant. Reminder of code of conduct. Qualifying & racing etiquette/rules, all that sort of stuff.
I spoke to someone who is racing this weekend, on the phone today and they had no idea about Saturday. When I entered my first big event last year at Keilor cup I had no idea the b-finals and lower consisted of 1 race. In the Keilor invitational I had no idea it had 10 minute finals, till the drivers meeting. I know this is Keilor stuff. But I just think it's a good idea. Not all read rctech &/or Facebook. Emails ensure a direct delivery, could be a good precedent for big events. I'm happy to help with a template the clubs can use.
I can't wait for the Knox cup this weekend, so much fun. I'm so glad there are 2 finals below the a-final. Thanks in advance to all those putting the event together. Some close racing on this weekend should be fantastic on the new track. See you all down there.

In the efforts to give everyone the same amount practice time on Saturday morning, we will be running a full round of control practice starting at 9.30am.
Friday open practice with timing from 10am to 5pm (carpets off).
Closing of online entries will be announced soon, get those entries in.
Hope everyone enjoys their racing this weekend, should be a cracker!
See you at the track!
Jason.

if you want a template to follow, when it comes to format, all clubs imput needs to be considered, get the 4 club reps together on email or facebook and make big decisions together as these events are for all mildura, wodonga, keilor and knox members. 2 qualifiers staturday format dosnt work for well for non locals who planned to travel early saturday morning and hope to get sufficient practice time or people who can only make a sunday race. we all need to remember the knox cup is as much wodonga, mildura and keilors race as it is knoxs race. ps, i and everone who attend and run these events do so because we either enjoy or love racing and i hope we continue to work together to make a state series thats the envy of the whole country. cheers jg

Just to give an indication how big this knox cup is, we have 20 races per round in qualifiers, thats 2 and half hours to do one round! We'll be running 3 qualifiers , 3 finals for As, 2 for lower, to give everyone maximum races, starting on Saturday was our choice.
With that all said, racing this weekend will be amazing, I'm positive everyone who attends will enjoy themselves.

I was thinking of a template to communicate event details. So the initial one might have the race details, classes, local accomodation, local hobby shops, transport, transponders, controlled tyres if applicable, etc
A second template - is for communicating the finalised details of when practice, qualifiers & finals. Plus any other reminders.
The template does not in anyway dictate the actual how's, whys & when's it would just be a way of communicating to all participants. What they are, a template is just handy as it would prompt the organisers on what is the useful info to communicate. Bit like an entry booklet, once each club does a couple.
Like I said, it's important to push out the info in this day and age rather then rely on entrants to log in and check. Obviously, email would be best for that. Personally I would think it just adds to the overall impression for those established & new in the hobby.
Probably even good to do a post event template, with the winners, a write up, etc. happy days, 1 more sleep.
