Default Minutes from Steering Committee 10/08/05

Everyone who came to the meeting is on the committee to help guide our newly formed club. To recap, your members are: James Kelly, Scotia Hayes, Dustin Gates (Webmaster), Jason Austin (Treasurer), John Hayes, Kevin Rivet (Secretary).
We need a 7th member to be a tie break when a vote comes before the committee. I nominated Herb Farley and he agreed.

At the meeting our members shot down the name Scale IN door Racers(SINR). We did agree on Shreveport On Road Racers (SORR).
To the best of my knowledge we agreed on the following:
Proposed SORR Purpose Statement
This committee proposes the following purpose for the club:
·grow the hobby of on road scale model racing.
·create an environment that developes a racers skills (education)
·host annual and weekly races
·care for a competitive on road track
·cultivating a competitive group of racers (test)
·represent Shreveport in local, state and regional races(act)
We believe these goals can be achieved through the following:
1.regularly held monthly meetings
2.weekly races
3.organized club membership
4.club website with forum
5.support from our local hobby shops
The committee identified four areas that immediatly affect the future of our club. We need: Transponders (which means the club needs to find a way to generate money for these “projects”), Build Membership, Find a location for us to race by May of 06, New carpet (If we remain indoors).
I will not go into detail of what we proposed about fund raising because phone calls need to be made before we openly discuss this. Rest assured we have a plan that shouldn’t cost the racer more in what we already pay to play.
To increase SORR membership we propose a fall race series; a series of races that will reward the most consistent racer with points that will accumulate to determine a class champion at the end of the year. The fall race will also act as a dress rehearsal for an even bigger more publicized winter series to be held (committee suggests Jan06-Mar06) This early race will just help us work out the bugs.

Fall race specifics
When: We have ruled out Sat and Sun for racing because of how it affects Terry, Dustin, John and the Nitro guys. Also know that a new electric offroad track is being built at the Nitro Park that will probably race on Sat or Sun. I proposed that we race on Fri night to help our students but Terry and Dustin travel on Fri to race on Sat. I believe the committee agreed to keep it to Thurs but enforce a strict race pace so our students get home at a reasonable time.
Basically the track will be open from 6p-6:45. Registration is from 6:45-6:55. Racing starts promptly at 7p with 5 minutes between classes and 10-15 minutes before we start the second round of Qualifying. We will try to enforce this at the next race so we can get use to the pace.
The proposed dates for the fall race are as follows: Nov 3rd, 10th, 17th, off on the 24th(Thanksgiving),Dec 1st, 8th, 15th, 22nd (double points race, two mains) and the 29th. This is 8 proposed race dates.
Classes:
10th scale 4wd stock motor sedan, foam tires

10th scale 4wd 19turn/brushless sedan, foam tires

12th scale 19turn, foam tires

18th scale open class with reverse both 2wd and 4wd

Qualifying: There will be two rounds of qualifying by IFMAR start (you against the clock leaving one racer at a time as opposed to a big pile up in the first turn) We will run no more that 4 cars at a time. This is for timing purposes.
Mains: A main will run the top 4 qualifiers. The next four qualifiers will be in the B main etc.
Points: A main :1st=20pts,2nd=18pts,3rd=16pts, 4th=14pts etc.
B main: 1stt=10pts, 2nd=8pts, 3rd=6pts, 4th=4pts, etc.
Rewards: Places 1st through 3rd in each class will receive plaques. Hopefully we will have all our name plates on separate plaques before the start of the series. I still need to talk to Terry about that.

Any questions post here. We will announce a work day prior to the series.
Kevin the Secretary.

Default Minutes from Shreveport On Road Racers 11/6/05

Racers present: Kevin Rivet, Jason Bullock, Jason Austin, Patrick B, James Kelly
Topics covered:
Proposed Club Fund Allocations (financial goals): We agreed that monies should be spent to have a club website. Costs will be brought up at the next meeting and voted on. We hope to have a web site by middle December. We also considered saving money for ROAR membership if our members vote to do so for insurance purposes. Most importantly we agreed that the club needs to have money available to replace any transponders or timing equipment we may unintentional damage or lose
Lighting at the racetrack – Terry is talking with Lee Knowles our landlord to see about getting lights for the track. I know that Ron has ladders we can use. I have volunteered to be the point of contact for this project.
Transponders and Timing – Jason B and Tom are working on building a timing loop and installing the system. Jason Bullock has volunteered to be our point of contact for this project.
Race Pace – It was agreed upon that the race pace was a little slow and racers had too much time between qualifiers; the main was run well though. We agreed that the time between qauls will be 3min by timer(so realistically we will be ready in five minutes) and the time between each series will be five minutes again by timer. Notice we did not apply this pace to the mains. Everyone should have ample time to prepare for the mains so we will play that by ear. The group proposed a 10min break before the main and then execute at a reasonable pace. Anyone have an extra egg timer???? please reply or I'll buy one.
Long Range Club goals – All club members need to be focusing towards May 2006 because there is a very real chance we may need to relocate. Consider the following pros and cons: Outdoor track pros: Asphalt has virtually no upkeep other than blowing off debris. Complexity and size of track is virtually limitless, nitro will be able to participate (grows membership), highly unlikely to outgrow.
Outdoor track cons: Weather, Condition of Asphalt or concrete, track may not be permanent and will need to be built prior to every race day, lighting and power issues may be unique to location. Indoor pros: Climate Control, Less wear on equipment, power and lighting less of an issue, track will probably be permanent. Indoor Cons: Carpet is wearing out and may not have more than a year left, ozite is expensive to replace, rent will be higher than a parking lot, reliability of a/c and lighting is up to the landlord.
Short term club goals – Encourage the growth of on road racing through a race series with improved timing. Organize a membership packet that outlines the benefit of belonging to SORR (ie reduced race fees, right to vote on club issues, website with forum, growth of hobby through organization, better timing) Get website up before Christmas. Dustin is our point of contact for this.
Track Layout and Changes - It is agreed upon that no track changes can occure without a majority vote. If agreed upon the proposed work day will be publicly posted on line and announced at the next race. When these requirements are met THOSE THAT ACTUALLY SHOW UP TO WORK WILL HAVE THE FINAL SAY ON HOW THE NEW TRACK WILL LOOK.
Fundraising – We currently receive 20% of all race fees. We propose membership fees to join SORR but are still researching ROAR fees and other factors so there is no price set for annual membership. It was also agreed upon that currently SORR is not ready just yet to have paid dues but as organiztion improves paid membership will become a reality. Probably by JAN 06 realistically. We can also raise money through a buy-in for series points to new racers only. A new racer would simply pay a fee, 10 or 15$, and receive the same number of points that the lowest point holder in that class has, on top of their race fee.
Website forum - The group proposed and agreed upon a new forum link for the new webpage will be hosted in the Shreveport / Bossier thread on rctech.net. The forum that Tom at HobbiesX-treme so graciously let us use for free has a great local feel, but rctech.net is more regional with racers in Nashville, OKC, Dallas, and Jackson surfing it. Moving to rctech.net will give the club more exposure regionally which is a double edged sword if things don’t fall into place, specifically timing. As Tom pointed out we need better timing before out of towners will show up. To help with the transition to the new forum we will duplicate many of our posts until the website is up. This will begin to introduce people to the club. By then we should have proper timing.

Done.

HEY EVERYONE Kevin needs a little help. With him always running the races he never has any time to work on his own car.Witch means he can not race and that takes the fun out for him.If a few people would step up to the plate and help run the races that would help,or just rotate the responsibility like turn marshaling. What ever we do, we need to come up with a solution to this problem before we find our selves kevinless.
